Changes to the By Name List for Coordinated Access/Exit

We wanted to let you know of an upcoming change to the Coordinated

Access/Exit behavior surrounding how clients appear on the By Name List
(BNL) with a Registry status.

Currently, to appear as an active
client on the By Name List in CT HMIS, you must have had a VI-SPDAT
assessment and enrollment performed on the client record and then must
go through the enrollment process for a specific CAN. The BNL is then
filtered by the Program Enrollment of the CAN rather than the CAN shown
on the “Client Status on Registry” form.

Starting August 17th
the VI-SPDAT workflow will be altered to provide a default Status on
the BNL of Active and assign an Active Date automatically, you’ll then
have to choose the associated CAN at the end of the VI workflow. This
will then add the client to the BNL list, even if no CAN enrollment has
been created. BNL exports will also be filtered by the CAN selected on
the “Client Status on Registry” form instead of the CAN Code from the
client’s CAN Assessment.

Here are the changes you’ll see:

1.
The VI-SPDAT workflow will be updated. An item will be added to the end
of the workflow that requires the user to select a CAN for the client.
This CAN will be used to populate the “BNL CAN” field on the By Name
List.

2. The BNL Export screen will be updated to filter the
export based on the “BNL CAN” field (which is what appears on the Client
Status on the By Name List (BNL) screen).

Here is a brief explanation of how those changes were implemented for clients already on the BNL:

If a client’s current CAN CODE is “Blue CAN” and current BNL CAN is
“[blank]” their BNL CAN will be updated to “Blue CAN” and the client
will appear on the Blue CAN BNL Export.
* If a client’s current
CAN CODE is “Blue CAN” and current BNL CAN is “Blue CAN” their BNL CAN
will remain as “Blue CAN” and the client will appear on the Blue CAN BNL
Export.
* If a client’s current CAN CODE is “Blue CAN” and
current BNL CAN is “Red CAN” their BNL CAN will remain as “Red CAN” and
the client will appear on the Red CAN BNL Export.

For clients who
are newly added to the BNL, the CAN selected at the end of the VI-SPDAT
workflow (a new, required field) will be used to populate the BNL CAN
field for that client.
